How Evolve Gymnastics Academy created the space to focus on coaching, growth and the experience they deliver every day.

A club growing faster than its systems

Evolve Gymnastics Academy has grown quickly, and for all the right reasons. Formed in 2020 through the merger of two local clubs, it has built a reputation as a welcoming, supportive environment where gymnasts of all ages and abilities can thrive. From babies taking their first steps into gymnastics through to adults returning to the sport, the club now supports over 800 members across more than 45 weekly classes.

That growth is something the team is incredibly proud of. But behind the scenes, things were starting to feel stretched.

More members meant more moving parts. More communication. More tracking. And more time spent trying to keep everything aligned.

When the admin starts taking over

As the club grew, one thing in particular began to eat into time more than anything else: managing payments. What sounds like a simple task quickly became anything but.

Each month meant working through bank statements line by line, trying to match payments to members, then cross-checking that against internal records to figure out who had paid and who hadn’t. If references were unclear, it often meant chasing parents just to confirm where a payment had come from.

It wasn’t just time-consuming. It was draining. And it meant hours each month were being spent on admin instead of coaching, planning sessions or improving the club experience.

As the club grew, one thing in particular began to eat into time more than anything else: managing payments.

The turning point wasn’t about doing more. It was about making things simpler.

With a clearer structure in place, the team no longer had to piece information together from different places. Instead, they could see exactly what was happening across the club in real time.

One of the less obvious changes has been how much easier day-to-day interactions have become.

Previously, conversations about payments could feel awkward or uncertain. Without clear visibility, it often meant guessing or following up after the fact. Now, everything is much more straightforward.

Getting time back and using it properly

Since making the shift, the club has been saving around 2–3 hours every week. That time hasn’t just disappeared, it’s been put back into the club.

More time is now spent developing coaches, improving sessions and strengthening safeguarding processes. There’s more energy going into creating a positive, supportive environment for gymnasts and their families.

With more time and better structure, the club has been able to do more than just keep up, it’s been able to expand.

Running events, competitions, holiday camps and fundraising initiatives has become much easier to manage, which has opened up new opportunities for both members and the club itself. “We’re now able to easily set up one-off events, competitions, holiday camps, and fundraising initiatives.”

Parents can book and pay in advance, participation has increased and the club has created new revenue streams that can be reinvested back into equipment, facilities and staff development.

It’s not just about running sessions better. It’s about growing what the club can offer.

A club that feels more in control

Perhaps the biggest shift is how the club feels to run. There’s more clarity. More consistency. And less stress. “As a club we have saved time and money overall and it gives us a more professional feel.”

That professionalism isn’t about appearances. It’s about confidence. Knowing where things stand, knowing what needs attention and knowing the club is running in a way that supports both its members and its future.
