Robin Hood Gymnastics turned demand into structure

How clearer visibility and structured processes helped a thriving community club stay in control as it grew.

Supporting their local community for over a decade

Founded in 2015, Robin Hood Gymnastics is a well-established, non-profit club based in Sherwood, supporting more than 600 recreational and preschool gymnasts alongside 260 squad athletes. With 22 staff and a strong volunteer culture, it is a busy, community rooted club that has grown steadily over time.

The club works closely with local schools, introducing children to gymnastics during the school day and creating a clear pathway into after school sessions.

Alongside recreational classes, the club runs a competitive squad programme, with some gymnasts training up to 25 hours per week. That level of commitment brings families into regular contact with the club, creating strong relationships and a genuine sense of belonging.

Growth has been positive and consistent. But as numbers increased, so did the operational demands behind the scenes. The club reached a point where maintaining control, visibility and fairness across hundreds of members became just as important as attracting new ones.

From waiting lists to full classes with less stress

Being oversubscribed is a sign of success. But it also creates pressure. Every enquiry needs responding to. Every available space matters. Families expect clarity about when their child might be offered a place.

For Robin Hood Gymnastics, the challenge was not generating interest. It was managing that interest in a way that felt organised and fair, without losing the personal touch that families valued.

The shift has created breathing room. Instead of constantly reacting, the team can plan ahead. They can focus on coach development, safeguarding standards and improving the experience for members.

Transparency has strengthened confidence on both sides. Families understand exactly what they are paying, the club maintains financial clarity, and leaders able to make informed decisions without feeling as though they are compromising on fairness.

Creating transparency families can trust

With hundreds of members moving through different sessions and programmes, clarity matters just as much as organisation. As the club grew, so did the importance of making sure families clearly understood what they were paying for.

Confusion around fees or additional costs can quickly undermine trust, especially in a community hub where relationships are everything.

By structuring payments more clearly and making information accessible in one place, Robin Hood Gymnastics has been able to remove uncertainty to avoid difficult conversations. “We can increase our prices and pass on transaction fees without it affecting our monthly income. The customers can see the transaction fee, so it’s transparent for them.”

Building confidence to focus on the bigger picture

With more than 860 gymnasts across recreational, preschool and squad programmes, leadership is no longer just about delivering great sessions. It is about maintaining oversight.

Clear visibility across registrations, capacity and payments means decisions can be made with confidence. Leaders are not relying on guesswork or scattered documents. They can see what is happening across the club at any given time.

That clarity changes the tone of conversations at leadership level. Instead of reacting to problems, they can think ahead. How do we support our coaches better? Where can we grow next? How do we stay sustainable as demand continues to rise?

When information is organised and accessible, it frees up mental space. It reduces friction. It allows the team to operate with structure rather than stress.
